Job offer - office manager/administrative assistant

ESIP is looking for a highly motivated and results-driven individual to contribute to the daily work of our international office in Brussels from September 2018.

19h per week - initial fixed-term contract 12 months (possible permanent contract thereafter) - additional benefits package

The position requires a dynamic, communicative & autonomous person to work in a small multilingual team and be responsible for: 

  • Managing central correspondence / emails, answering the telephone and receiving visitors
  • Managing office supplies and dealing with service contractors
  • Administering staff pay, contracts, holidays etc.; liaising with external administrative office
  • Issuing and paying invoices,book keeping; liaising with external accountancy office
  • Filing and archiving 
  • Managing and updating contact/ mailing lists
  • Organising internal and external meetings; preparing meeting documents 
  • Supporting other office staff in their duties
  • Other tasks as required

Requirements:

  • Bilingual or native level written and spoken English;good/excellent spoken and written French; knowledge of other languages is considered an asset
  • Degree / diploma in secretarial studies, accountancy, or business administration 
  • Excellent communication skills 
  • Motivated,autonomous, organised and willing to learn
  • High level of computer literacy and excellent knowledge of Microsoft Office; experience with database management tools, a plus
  • 1-2 y experience in a similar administrative role
